Evidence windows that vendors actually respect
An open-ended request for “supporting evidence when you can” rarely produces a clean packet. Vendors schedule their own customers first. If your window is vague, their backlog wins.
In Multi-Vendor Audit Coordination we teach teams to publish evidence windows as dated periods inside the coordination app — with a start, an end, and a named internal owner who will close the window rather than silently extending it.
Make the window fair before it is firm
Fairness is not the same as endless patience. Share the window length when questionnaires go out. Mention known holidays. Offer one pre-declared extension path for documented blockers, not informal “just a few more days” chats.
Close in public
When the window ends, record a closing note: what arrived, what is missing, and whether remediation starts. Private email extensions undermine the shared calendar and teach suppliers that dates are decorative.
Alumni often report that the first cycle still slips — usually because legacy contact lists are messy. The second cycle, with cleaned owners and visible windows, is where the habit sticks.
